Description

• Lead Coordinator by the hour on the day of the event (4 hour minimum on weekends, 2 hour minimum on weekdays. Travel fee may apply)
• Client to Provide Vendor List with Contact Information, to include email and phone numbers 1 week prior to the event.
• Client to provide copies of all vendor contracts prior 1 week prior to the event
• Events for all Seasons will contact all vendors associated with the event and inform them of EFAS , LLC a minimum of 5 days prior to the event.
• Confirm all contract details with vendors (deliveries, set‐up times, etc.)
• Client to provide a detailed itinerary a minimum of 1 week prior to the event date. Events for all Seasons will review and make changes as needed and distribute to vendors
•Direct rehearsal, & coordinate ceremony on the day of the event
• Phone Consult with reception venue/caterer to review the itinerary and rules/confirm insurance etc.
• Events for all Seasons will set up personal items and décor (guest book, pen, portrait, toasting glasses, sign‐in book, cake knife, favors, programs, menu cards etc.). Client to have EVERYTHING unwrapped and staged. If items are not ready to "grab and go" additional fees will be incurred. If Client knows they need more assistance than "grab and go" please provide 1 week notice and we will schedule extra staff to assist so that we don't fall behind on the day of the event. Extra staffing comes with an additonal staffing fee. • Manage and assist with event timeline, vendor set-‐up, and payment of vendor balances and tips distributed as requested)
• Organization and distribution of all personal flowers
• Specific to Weddings: Cut the Wedding/Groom’s Cake & Display on Dessert Table (optional and available if the caterer does not do this. Please assign a helper to assist with this)
• Specific to Weddings: Bustle bride’s dress and arrange refreshments upon couple’s arrival to reception location or at time deemed necessary
• Coordination of entertainment and all announcements and events throughout the evening
• Assist with Specially requested photographs and videography (Must have this information / list 3 days prior to the event date)
• Specific to Weddings: Coordination of bride and groom’s exit
• Ensure that all personal items are taken at the end of the evening (if we are still at the event during this time)
• Place Rental Items and personal items/gifts in Designated vehicle (if we are still at the event at this time)

Additional Hours and Additional Coordinators may be required or requested for an additional fee *2 locations often require a 2nd coordinator and can result in an additional fee* **Events for all Seasons offers Floral and Decor/Prop Services at 10% off when you purchase an event coordination package** ***$400 a la carte event design fee may be added to any package. This will cover all aspects of your wedding starting with your colors. We will put together a “booklet” that will outline the various items to fit your style, where to get them, average pricing, etc. This is for the Client that may want to take the planning and do it on their own with professional input from Events for all Seasons. This package works great with the Day of Coordination Packages or Hourly Packages*** ****NOTE: Set up of DIY items that requires the use of extra labor, takes longer than time allows, or requires hanging of items or getting on a ladder more than 5' tall may have additional fees.****

Payment Policy

When Events for all Seasons approves your rental request, 50% of the total invoice will be processed. Full payment will be due 7 days prior to the agreed upon delivery/pickup. For reservations made within 7 days the full amount will be captured upon vendor approval. Please refer to the vendor's Cancellation Policies for refund cutoffs and amounts.

General Cancellation Policy

    Once your order is confirmed, reservation deposits are non-refundable. If you remove items from your order within 184 days of the delivery/pickup date a 10% fee will be charged. If you remove items from your order within 30 days of the delivery/pickup date a 100% fee will be charged.
